A little guidance
Find your way.
The PlanIT Field Guide. Start with the basics, or find the detail you need.
01 / Getting started
Getting started
Welcome to PlanIT
PlanIT keeps your plans, to-dos, dates, notes and people in one place, sketched in outer space: each plan is a planet.
Terminology
PlanIT's wording, from planet to Deep Scan, each in plain words with links to more information.
The home screen
The home screen displays your solar systems and their planets, five buttons along the bottom of the page, the Launchpad to the left and the Deep scan to the right of the main screen.
Plain names and space names
The buttons on the Home screen change after a week.
Moving around
Swipe between home, Launchpad and Deep Scan, go back with the gold arrow, and pinch to zoom.
Hold to explain
Not sure what a button does? Tap and hold it: a temporary bubble will be displayed explaining what it does (the button itself will not be pressed).
Deleting and undoing
Swipe a row to the left twice to delete it. Almost everything can be brought back from History.
Tours
There are two tours you can take: A quick start that shows PlanIT in 1 minute, and a guided start that walks you through creating a plan. Both can be found in Settings.
Your data stays on your iPhone
You have complete privacy. PlanIT has no account and no server: everything you write stays on your iPhone, in your backups.
02 / Plans & planets
Plans & planets
Plans are planets
Every plan is a planet with its own specific structures, meant to help you get organised (eg. Task Lists, Timelines, Auxiliary tools and more).
Solar systems and suns
A solar system consists of an area of your life (eg. work, home, family, hobbies). All the plans you assign to this area gravitate around a sun.
Creating a plan
Tap the gold "+" button on the Home Screen, name the plan, pick the type, and tap Create.
Dwarf plans
Lightweight planning
Cryo plans
Plans for health and wellbeing: routines, habits, trackers and a Pill Box.
Giant plans
Long-term planning for large projects, with satellites.
A solar system's plans
There are 2 types of system displays. You can see a system's plans circling its sun or as a list with their progress. Use the tags to filter them.
Project Interface
The plan's settings. Components, planet type, its solar system, its board layout, sharing, and conquering/completing it.
Conquering a plan
Finished a plan? Conquer it.
History
The app keeps a record of every change. Deleted plans and files can be brought back.
Share plan
Share a plan or planet with others as text or a PDF. No syncing.
03 / The board
The board
A board for each plan
Each plan has its own board: a planet in the middle, its parts around it, and panels you can place anywhere.
Panels
Panels display a quick-view of a part or a tool on the planet board. Move them, resize them, pin them to the screen or hide them.
Next up
A panel on every plan's board showing what's next: its upcoming tasks and dates.
Locking the board
The lock keeps a board's panels and parts in place, so touching them never moves them.
Board or list
Switch between a plan's parts as a schematic around the planet, or as a list.
How a new plan's board starts
A new plan opens with its Task List and Timeline open and Next up in the top-right corner.
04 / Tasks & To-Do
Tasks & To-Do
The Task List
Breaking down a plan into tasks, in order, each task with its own steps and options.
Steps
Break a task into steps you tick off one by one.
Repeating tasks
Make a task or to-do item repeat every day, on weekdays, weekly, monthly or every few days.
A task's options
Open a task to move it to To-Do/On Deck (on the Home Screen), tag it, attach a tool, repeat it, or add the people with whom you’re working on it.
Your To-Do/On Deck list
One list which centralises what's next from every plan, plus any quick to-dos of your own (which you add directly to the list, from the Home Screen). The app renames it from To-Do to On Deck after your first week (to keep in theme).
Quick tasks
On-the-go To-dos that don't belong to a plan, with steps, recurring/repeating events and people.
Sorting and filtering To-Do/On Deck
Sort your To-Do/On Deck list newest, oldest, A to Z or by hand, and show only a tag or a person.
The Archive
Finished tasks and to-dos, and dates in the distant past move to the Archive after a while, out of your way.
Satellites
A Giant's satellites are smaller plans inside it, one for each section you divide your plan into, each with its own tasks, dates and tools.
Tags
Label plans, tasks and tools, then show only what has a tag, in one plan or across all of them.
05 / Timeline & dates
Timeline & dates
A plan's Timeline
A plan's dates, deadlines and milestones, shown as a calendar or a list, and in your Calendar too.
Milestones
Moments in a plan that don't have a day yet, waiting until you set one.
Events linked to a plan
Your own Calendar events linked to a plan show in its Timeline too.
Default times
The times PlanIT uses when you don't choose one: check-ins, all-day alerts, new events, quick alerts and snooze.
Time zones and travel
One-off events stay fixed moments; repeats keep their clock time wherever you are.
06 / Auxiliary tools
Auxiliary tools
Auxiliary tools
Tools beside a plan's tasks: Text Boxes, Tables, Progress Trackers, Pill Boxes and a Dossier.
Text Box
A note that works like Notes: the first line is its title, with styles, lists and a copy button.
Table
Rows and columns, for a budget, a packing list, anything laid out in a grid.
Progress Tracker
Log one number at a time, like kilometres run or your weight, and watch it on a chart.
Pill Box
Each pill in its own colour; tick it each day you take it, and see your streak.
Dossier
A plan's photos, scans and files, kept together; scanned text is searchable.
07 / Calendar
Calendar
The Calendar
Every date in one place: your own events, every plan's Timeline dates, repeating to-dos, birthdays and, if you like, your iPhone calendar.
Year, month, week and day
Pinch the Calendar to step between a year, a month, a week and a single day.
Moving things in a week or day
In a week or day, drag events to new times, stretch them, or tap an empty time to add one there.
Events
Add an event of your own, with its time, a notification or alarm, people, a repeat, and a link to a plan.
Repeating events
Make an event come back on a schedule; it keeps its clock time wherever you are.
Flights and boarding passes
Mark an event as a flight, or let PlanIT read a boarding pass and offer the flight and when to leave for the airport.
Filtering the Calendar
Choose what the Calendar shows: plan dates, your events, the Journal, birthdays, your iPhone calendar, people, solar systems or tags.
The timeline view
Switch the Calendar to a list of what's coming, in order, with a bell for a reminder on any of it.
Your iPhone calendar
Show your iPhone calendar's events in PlanIT, and hide any you don't want here without touching your iPhone's Calendar.
08 / Alarms
Alarms
Alarms
Alarms of your own, and every event set to ring, on one page.
Making an alarm
Set a time, the days it repeats (or none), a label, snooze, and optionally the plan it's for.
Every few days
An alarm that rings every 2, 3 or more days, counted from the first ring you choose.
Events that ring
Make any event or plan date ring like an alarm instead of sending a quiet notification.
How alarms ring
On iOS 26 and later PlanIT sets real alarms that ring through Silent mode; before that, loud notifications.
09 / Journal
Journal
The Journal
Write about your day, with photos, scans and files. Each entry's first line is its title.
Days in the Journal
Today's entries on top, open to change; your journey so far below, to read straight through.
Photos, scans and files
Add photos, scanned pages and files to an entry; each is shown as it looks, with a name you choose.
Tags and filters in the Journal
Tag entries with your own words, then show only entries with a tag, attachments or people.
An entry's date and reminder
Give an entry a date to put it on the Calendar, with a reminder if you like.
Linking an entry to a plan or people
Link an entry to a plan to show it there too, and to the people it's about.
Finding by date
Jump to any day you wrote on, or search by weekday, month, day or year.
10 / People
People
People
Everyone in your plans, with their details, dates and what you do together.
Adding someone
Type a name, or pick them from your iPhone's Contacts.
A person's page
Cards with how to reach someone, their dates, work and lifestyle, relationships, preferences and notes.
Groups
Gather people into groups, like Family or Book club, by dragging them.
Finding people
Search, filter by group or skill, or show whose dates are coming up.
Birthdays and dates
Keep someone's birthday and important dates, with reminders and a place on the Calendar.
Check-ins
A reminder to get in touch with someone every week, two weeks or month.
@ mentions
Type @ and a name to link someone to a task, to-do or Journal entry.
11 / Launchpad & search
Launchpad & search
Launchpad
On the Home Screen, swipe right to find the Launchpad. Write anything you want to plan or anything you are thinking, and Launchpad suggests where it could go: a to-do, an event, an alarm, a note, a person or a Journal entry.
What Launchpad understands
Dates and times, alarms, repeats/recurring events, plans, people, phone numbers and flights, in all the app's languages.
Sending photos, scans and files
Take a photo, scan a page or pick a file in Launchpad, then send it to a Journal entry or a plan's Dossier.
Undoing a send
Every send from Launchpad can be retrieved with Undo, for five seconds.
Deep Scan
Swipe left on the Home Screen to search everything: plans, tasks, to-dos, events, Journal entries, people, tags and this Field Guide.
Searching by date
Find anything with a date by its weekday, month, day, year, or words like "yesterday".
Finding PlanIT things from iPhone Search
Let iPhone Search, swipe down on the Home Screen, find your plans and other things, if you want.
12 / Settings, data & privacy
Settings, data & privacy
How your data is protected
Everything you keep in PlanIT is scrambled so only your iPhone can read it. We try to keep your data as safe as possible.
Settings
Grouped like the iPhone's Settings, with a search field that finds any setting.
General settings
Vibration, iPhone Search, Auto-tags and the keyboard.
Privacy lock
Lock PlanIT, or just the Journal, with Face ID, Touch ID or your passcode.
Home screen settings
The sky's layers and the classic home screen.
Tour and tips
Start the tours again, choose the names of the buttons on the Home Screen, and switch button explanations and tips on or off.
Notifications
Let PlanIT alert you about events, dates, reminders and check-ins.
Bringing in Reminders
Copy new reminders from any given Reminders list into your To-Do/On Deck list. PlanIT only reads Reminders and never changes them.
Backups
Export everything to a file, protected with a password (optional but recommended), and restore it on any iPhone.
Daily copies and recovery
PlanIT stores a copy of your data each day for the last week, on your iPhone, and never writes over data it can't read.
Stats
What you've created and finished: planets, solar systems, tasks, to-dos, tools, events and more.
Language
PlanIT speaks 18 languages; follow your iPhone's or pick one.
App icons and sun styles
Choose PlanIT's icon on your Home Screen, and each solar system's sun.
Deleting your data
Delete Local Data wipes everything PlanIT holds on this iPhone, History included.
13 / Beyond the app
Beyond the app
iPad and fold views
On a bigger screen, lists open what you pick beside them, and an iPad in landscape gets a sidebar.
Widgets
Today, To-Do, a plan, a solar system and Launchpad on your Home Screen and Lock Screen, with the option to tick things off the list right there.
Sharing to PlanIT
Send text, a link or a picture from any app to To-Do, the Journal or a plan's Task List.
Siri and Shortcuts
Add to-dos, tasks and Journal entries, or ask what's next, with Siri or the Shortcuts app.
Apple Intelligence
On iPhones that have it, Apple Intelligence makes Launchpad, Deep Scan and Auto-tags smarter, all on the iPhone (nothing uploaded).
